Instruction for manuscript preparation and submission

Updated in August/2010

These instructions aim to advise authors on the Standards SMAD Electronical Journal Mental Health Alcohol and Drugs adopts in the manuscript review and publication process. These instructions are based on the Uniform Requirements for Manuscripts Submitted to Biomedical Journals: Writing and Editing for Biomedical Publications, Vancouver style, formulated by the “International Committee of Medical Journal Editors (ICMJE)”.

JOURNAL’S MISSION

SMAD Electronical Journal Mental Health Alcohol and Drugs is an official Journal of scientific publishing of the University of São Paulo at Ribeirão Preto College of Nursing, PAHO/WHO Collaborating Centre for Nursing Research Development.

SMAD mission is “to share experiences and knowledge produced by health professionals and researchers in the area of mental health, alcohol and drugs”.

EDITORIAL POLICY

SMAD Electronical Journal Mental Health Alcohol and Drugs prioritizes articles on results of original research and systematic or integrative reviews, letters to the editor, editorials, reviews and student page.

Manuscripts should be submitted to SMAD only. Simultaneous submission of the (full or partial) texts, figures and tables is strictly prohibited, except for abstracts or preliminary reports published in scientific meeting proceedings.

SMAD strongly discourages reports on the same research in multiple manuscripts.

Reproduction is permitted, as long as the source is cited.

SMAD has no obligation to return original manuscripts, as well as articles rejected for publication.

The concepts and opinions expressed are the full responsibility of the author(s) and do not necessarily reflect the opinions of the Editorial Commission and the Editorial Board.

REVIEW PROCESS

SMAD has a management system for the publishing process. Authors submit their manuscripts by e-mail and receive a reference number. Then, editors review the study to check for its contribution to scientific knowledge in Psychiatric Nursing and Human Sciences. Next, the manuscript is sent to the reviewers for analysis based on the Journal’s review instrument.

The anonymous peer review system is used, in which authors’ and reviewers’ names are omitted. Associate editors check the reviewers’ opinions for compliance with publication standards, contents and pertinence. Manuscripts can be accepted, returned for reformulation or rejected.

After the associate editors have accepted the manuscripts, the article is forwarded for approval by the scientific, editor who has full authority to decide on acceptance and/or required changes. Then, the journal’s opinion is sent to the authors.

SUBMISSION

Authors are expected to submit their manuscript in one language (Portuguese, or English, or Spanish).

Manuscripts submission is done exclusively through the e-mail rev_smad@eerp.usp.br.

At the moment of the submission the author must attach to the e-mail:

-Signed and scanned individual Declaration form (click here for download)

-Article file

-Approval of the Research Ethics Committee or declaration informing that the research did not involve human beings directly.

The Journal will check the manuscript and the documentation, and if there is anything missing or incorrect, adjustment will be required. If the requirements for adjustment are not fulfilled, the submission will be automatically canceled.

PUBLICATION

Articles are published in the language the author has sent it, being the abstracts published in Portuguese, English and Spanish.

CLINICAL TRIAL REGISTRATION

SMAD supports clinical trial registration policies by the World Health Organization – WHO – and the International Committee of Medical Journal Editors – ICMJE, acknowledging the importance of these initiatives for the registration and international dissemination of information on clinical studies, through open access. Thus, clinical research articles will only be accepted if they received an identification number from one of the Clinical Trials databases, validated by the criteria set by WHO and ICMJE, whose addresses are available at: http://www.icmje.org. The identification number should be registered at the end of the abstract.

MANUSCRIPTS ANNULMENT POLICY

Files of published articles will be stored for five years and then eliminated.

Manuscripts received by SMAD that are cancelled or rejected will be eliminated.

ERRATA

Any request for corrections should be received within 30 days after the article was published.

Original Articles

These contributions aim to disseminate results of original and unedited research, with possible replication and/or generalization.

This category also includes in-depth theoretical reflections and qualitative research in general.

Letters to the Editor

Includes letters to discuss recent articles published in SMAD, report on original research or significant scientific findings.

Editorial

Includes the Journal’s and its reviewers’ official opinion on relevant subjects on Mental Health, Alcohol and Drugs.

Student’s Page

It is a space designed to publish studies developed by undergraduate students.

Analysis of articles published recently.

Integrative Review

Uses a research method that presents a synthesis of multiple studies published and permits general conclusions about a particular study area, carried out in a systematic and ordered way, and contributes to deepen knowledge on the study theme. Strict methodological standards need to be adopted and results need to be presented clearly, allowing readers to identify the real characteristics of the studies included in the review. Integrative review steps: identification of theme and selection of research hypothesis or question, establishment of inclusion and exclusion criteria for sampling or literature search, definition of information to be extracted from the studies/categorization of the studies, assessment of studies included in the review, interpretation of results, presentation of review/knowledge synthesis.

Systematic Review

Uses a research method conducted by summarizing the results of original quantitative or qualitative studies and aims to answer a specific question of relevance to Nursing and/or health. Describes the process of seeking original studies in detail, the criteria used to select the publications included in the review and the procedures used to summarize the results obtained by the reviewed studies (which may be meta-analysis or meta-synthesis procedures or not). Systematic reviews depart from the following premises: exhaustive search for studies, selection justified by explicit inclusion and exclusion criteria, assessment of methodological quality and use of statistical techniques to quantify the results.

MANUSCRIPT STRUCTURE

Although SMAD attempts to respect the authors’ creativity and style in the manuscript format, a conventional structure should be adopted, including introduction, methods, results, discussion and conclusion, highlighting the study’s contributions to the advancement of nursing knowledge.

The Introduction should be short, clearly define the research question, highlighting its importance and knowledge gaps. References should also be included if strictly relevant.

The Methods used, study population, data sources and selection criteria should be described objectively and completely.

The Results section should be limited to a description of the results found, without including interpretations or comparisons. The text should complement and not repeat the content of tables and figures.

The Discussion emphasizes the new and important aspects of the study and resulting conclusions. Data or any other information included in the Introduction or Results should not be repeated. For experimental studies, starting the discussion with a brief summary of the main findings is useful, and then exploring possible mechanisms or explanations for these results, comparing and contrasting the results with other relevant studies. Articles published in SMAD should clearly indicate their contributions and limitations, and also explore how their findings influence future research and clinical practice.

The Conclusion should be linked with the study objectives but avoid any assertions and conclusions not supported by data. Authors should specifically avoid assertions on economic benefits and costs, unless the manuscript contains appropriate economic data and analyses. Any claims on priority or reference to unfinished work should also be avoided. New hypotheses can be established when this is the case, clearly indicating that these are hypotheses.

AUTHORSHIP

SMAD’s authorship concept is based on the substantial contribution by each of the individuals listed as authors, mainly in terms of conceiving and planning the research project, collecting or analyzing and interpreting data, writing and critical review. Indication of authors’ names under the article title is limited to six. If more, authors are listed on the online submission form under Acknowledgements.

Including names of authors whose contribution does not fit into the above criteria cannot be justified. Those names can be included in the Acknowledgements section.

Authors are fully responsible for the concepts disseminated in their manuscripts, which do not necessarily reflect the editors’ and editorial board’s opinion

MANUSCRIPT PREPARATION

- Title (short but informative, excluding geographic locations and abbreviations) in Portuguese, English and Spanish;
- Full name of author(s), with professional category, highest degree, affiliated department and institution, e-mail, city, state and country in footnote;
- Name, mailing address, e-mail, telephone/fax of corresponding author;
- Include names of all authors in the link insert authors;
- Acknowledgement(s) of funding, equipment, pharmaceutical support when relevant;
- Thanks - name of collaborators whose contribution does not qualify as authorship according to SMAD criteria, or list of authors beyond names indicated below the title:
* scientific consulting
* critical review of study proposal
* support and/or cooperation in data collection
* support to research subjects
* grammar review
* technical support during research;
- relation of manuscript with theses and dissertations (inform responsible institution);
- Maximum 120 words, including research objective, basic procedures (subject selection, observation and analysis methods, main results) and conclusions. Contributions to the advancement of nursing knowledge should be highlighted;
- include 3 to 6 descriptors for indexation of the articles - consult DeCS-LILACS – Health Sciences Descriptors, developed by the Virtual Health Library (BIREME) (http://decs.bvs.br/) or MESH - Medical Subject Headings http://www.nlm.nih.gov/mesh/MBrowser.html

Article File

The main file of the article should also include, on the first page, the title, abstract and descriptors, in this order, in Portuguese, English and Spanish. Do not use abbreviations in the title and abstract. These should be written in full upon their first use in the text, unless they are standardized units of measurement.

Compulsory Documents

Upon submission, the following compulsory documents should be attached to the e-mail:

-Approval of the Research Ethics Committee or declaration informing that the research did not involve human beings directly
-Signed and scanned individual Declaration form (click here for download)

Both documents should be digitalized as a jpg file (maximum size 1MB each).

Format

- A4 (210 x 297mm).
- 2.5 cm margins on all sides.
- Font Times New Roman 12.
- Double lining throughout the file.
- Tables should be inserted in the text, numbered consecutively with Arabic numerals, in the order mentioned in the text, without any horizontal or vertical lines inside the table. The title should be short and include essential data only, avoiding unrepresentative data. Explanatory notes should be placed in a footnote to the table and not in the heading or title.
- Figures (including drawings, graphs, pictures etc.) should be drawn, elaborated and/or photographed by professionals in black and white. In case pictures are used, subjects cannot be identified or upon written authorization for the sake of scientific dissemination only. Numbering should be consecutive with Arabic numerals, in the order mentioned in the text. Figures will be accepted provided that they do not repeat data contained in tables. In the figure legends, symbols, arrows, numbers, letters and other signed should be identified and their meaning clarified. Non- standardized abbreviations should be explained in footnotes, sequentially using the following symbols:*,†,‡,§,||,**,††,‡‡.
- Illustrations should be sufficiently clear to permit reproduction at 7.2cm (width of text column) or 15cm (page width). For illustrations extracted from other publications, authors should provide written permission for their reproduction. These authorizations should be sent together with the manuscript submitted for publication.
- Maximum of 5 tables, figures and illustrations on the whole.
- Use of internationally standardized abbreviations only.
- Footnotes: should be marked with asterisks, initiated per page and restricted to a minimum.
- The maximum number of pages includes the full article, titles, abstracts and descriptors in three languages, illustrations, graphs, tables, pictures and references.
- Maximum of 15 pages for original articles. It is recommended to limit references to 25. Only those strictly relevant for the research question should be included, avoiding an accumulation of references in the same citation.
- Maximum of 20 pages for reviews. Only those strictly relevant for the research question should be included, avoiding an accumulation of references in the same citation.
- Maximum of 1 page for Letters to the Editor.
- Maximum of 1 page for Reviews.
- Maximum of 1 page for Student’s Page.
- Subject statements should be included in italics, font Times New Roman 10, included in the body of the text. E.g.: society is increasingly violent (subject 1).
- Place ipsis litteris citations between brackets only, included in the body of the text.
- References - numbered consecutively, according to their first mention in the text. Identified with Arabic numerals, between parentheses and superscribed, without mentioning authors’ names. The same rule applies to tables and legends.
- In case of sequential citations, separate numbers by a hyphen (e.g.: (1-2)); when interspersed use comma (e.g.: (1,5,7)).
- Include contributions published by SMAD on the manuscript’s theme.

Authors are fully responsible for the correctness of references.
